Configure and Run a Production Export
Before you can download a production set, you must configure the export settings and run the export job.
To configure and run a production export:
-
Navigate to the Mission Control > Production Workflows page.
- Click on the name of the production workflow to open the workflow drill-in page.
- To export all production sets at one time, select Export from the actions menu of the Production Sets folder. To export an individual production volume, expand the Production Sets folder and select Export from the actions menu for the individual volume.
- Configure the export settings:
General
- Export Name
- By default, the export is named to match the production node, suffixed with a three-digit counter. If desired, input a custom name.
- Copy Configuration
- To configure an export from scratch, do not make a selection in the Copy Configuration field.
- If a production was previously exported and you want to reuse the settings of that export, select it in the Copy Configuration field. The remaining settings update immediately to match the settings of the selected export. You can then modify any setting as needed.
- Description
- Optionally add a description.
File Settings- File Name
- The export file name is the production set name by default. You can change it.
- File Extension
- As the default format is Concordance format, the default extension of the metadata file is DAT. Alternatively, choose CSV or TXT.
- Delimiter Set
- Choose the Concordance Standard or a CSV delimiter set. The single delimiters are listed in the configuration summary to the right.
- If you select Custom, you can define each delimiter separately. Common examples are shown next to each field.
Output SettingsSelect any output file types that your production set contains. References are added to different export files:
- Natives
- References to native files are automatically contained in the export metadata file, in the Native Document Link field.
- You are prompted to select a Native File Name Pattern:
- Beg Bates Number: names the files after the beginning Bates number.
- Beg Bates Number + Field Values: allows you to select a field whose values are then added as a suffix to the Bates number, for example, BEG BATES_FIELD VALUE.FILE EXTENSION. If the selected field contains more than one value, the values are separated by underscores.
- Beg Bates Number + Text: allows you to input static text which is then added as a suffix to the Bates number, for example, BEG BATES_HIGHLY CONFIDENTIAL.FILE EXTENSION.
Note: There is a native file name character limit of 255 characters, including the file extension. When file names are truncated, the truncated characters are replaced with […]. - Text
- References to production text are automatically
contained in the export metadata file, in the
Produced Text Link field.
Note: The standard export text file format is UTF-8 without BOM.
- Images
- An Opticon file will be created that references the images.
- External Page Identifier
- The External Page Identifier section is only seen when this setting is enabled for the project. Additionally, the setting is only functional for a production export if the production workflow used to create the production had an external page identifier field added to the production layout.
- If the production you are exporting meets this criteria, you have the option to name the output files after the external page identifier field values. To do so, select the Name output files by external page identifier check box.
Column Settings- Split date-time fields into discrete columns
- Depending on the source system that will import the files, you can split date and time fields or put date and time information into one field.
- Date Format
- Specify the desired format.
- Time Format
- Specify the desired format.
- Column Selection
- Add or adjust the fields you want to include in the
production export metadata file.
- To add a field, use the type-ahead text box to search for the specific field or choose from the drop-down list.
- Use the four-sided arrow to drag and drop fields into the desired order.
- Use the Heading column to modify field display names.
- To remove a field, hover over the field and click the X that appears.
Important: If you export native files and text files, do not remove the Produced Text Link (links to the extracted text files) and the Native Document Link (links to native files) fields.
- Enable removal of Bates values
- As a safety check, BEGBATES, ENDBATES, BEGATTACH and ENDATTACH cannot be removed from the list of exportable fields unless you proactively activate Enable removal of Bates values check box.
- Click Save or Run .
- Run
- Saves the settings and starts the export job.
- Save

Monitor the status of the export on the Administration > Exports page.
Monitor the export job on the Jobs tab.
