Create a Production Rule
Tip: If production rules already exist, you have the option to clone the settings of an existing rule as your starting point. Click the Actions menu of the rule you wish to clone and select Clone.
To create a production rule:
- Navigate to the Production Rules page.
- Click the toolbar button in the Production Rules panel header and select New.
- Navigate through the tabs on the left side of the screen to configure the rule.General
- Rule Name
- Input a descriptive name for the rule, one that describes the document scope and output so the rule can be identified at a glance, for example, XLS-Native_Slipsheet.
- Description
- Input an optional description.
- Active
- The Active check box activates or deactivates the rule. A rule can only be used in a production workflow when the check box is active.
Tip: If the rule is specific to one production workflow, consider adding the Bates prefix to the name.
ScopeUse Smart Filters or search to define the data set that the rule is intended to capture, for example, if you are creating a rule to produce Microsoft Excel files in native format, use the MIME Type Smart Filter to select all Excel MIME types. To include associated documents as part of the same rule, use the Associations fly-in to expand the scope of the applied criteria.
Tip: You can also switch to the Saved Searches panel and apply a saved search.
The card view to the right of the Search panel automatically adapts to the applied criteria. Click Apply before switching to the next tab.
FormatSelect the settings that define what will become the production output for the defined scope:
- Images/Slip-sheets
- Activate this option to produce Images or Slip-sheets.
- Images - documents are produced
as images. Once selected, an Images area with additional options appears. Adjust the settings in the Images area to match your production specifications, that is, select Black and White or Color and optionally designate a page limit.
Note: If you limit the page count, there will be no indication in the production set export deliverable that images were truncated as a result of this rule. This option does not also truncate text.
- Slip-sheets - documents are produced with a slip-sheet placeholder. Once selected, the Image Slip-sheets tab becomes active for slip-sheet configuration.
- Images - documents are produced
as images. Once selected, an Images area with additional options appears. Adjust the settings in the Images area to match your production specifications, that is, select Black and White or Color and optionally designate a page limit.
- Natives
- Activate this setting to produce native files.
- Text
- Activate this setting to produce plain text files.
- When both Text and Slip-sheets are selected, select from the following text options:
- Production text matches slip-sheet – select this option and the slip-sheet is submitted for OCR and the slip-sheet text is provided instead of extracted text.
- Production text matches native file – select this option to produce extracted text.
Note: The default Redaction rule ensures redacted documents and their family members are OCR’d to prevent redacted content from being produced in the text.
Image Slip-sheetThe Image Slip-sheet tab is active only when Slip-sheets is selected on the Format tab. To customize the slip-sheet:
- Click the Add Item button.
- Select Field or Text and adjust the font size/type and text alignment to match the production specifications.
Important: Do not select the Bates Number option. The Bates number is added by the production workflow and if selected here it will appear twice on the slip-sheet.
- On the main Image Slip-sheet page, drop and drag the added items to the appropriate location in the slip-sheet preview panel.
- Once the slip-sheet is customized, click the Apply button.

Click Close to save the rule.
Tip: To double-check the production rule configuration from the main Production Rules page, click to the right of a rule name and verify the rule criteria using the Preview panel.
