Modify Existing Fields

The fields and values requested by your project team may differ from the Axcelerate 5 default settings. Rather than create new fields, first reuse any default fields that are of the same type needed and which will otherwise not be used. The default Responsiveness field, for instance, might be renamed Relevancy and its field values renamed Relevant and Not Relevant. Changes to field values are immediately applied to all places in the user interface where the values display.

Important: The Apply Custom Security to Document field has special functionality that can be used to restrict certain viewer features. If it is active in your project, its values should never be modified.

Note: The Responsive, Attorney Client and Work Product field values have special functionality for Review in Context. If you rename those values, their functionality for Review in Context does not change.

To modify an existing field:

  1. Navigate to the Administration > Fields and Values page.
  2. Click on the name of the field to be modified.

  3. On the General tab of the Edit Field window: 
    1. Change the field name, if needed.
    2. If the Convert to type-ahead display check box is selected, clear the check box.
    3. Click Apply if changes were made.

  4. To modify the field's values, navigate to the Values tab.

    Note: If a field contains a very large number of values, your browser may become unresponsive. If this occurs, you can add or rename the field's values by adding the field to an Axcelerate 5 tagging arrangement or to the Foldering panel and conducting the work there. An Administrator can delete values in CORE Administration.

    Your options to manage field values are:

    Rename value
    Hover over a value, click and select Rename.
    Add value
    Hover over the field name (or hover over an existing value to add a sub-value to a hierarchy field) and click New. Enter a name and click .
    Delete value
    Hover over a value, click and select Delete.

    Caution: If documents are tagged with this value, the tags are removed and cannot be restored. If a review workflow is based on this value, the review workflow is deleted.

    Reorder values within current level
    Click the value you want to move and drag it to the new location. For hierarchy fields, this option can only be used to reorder values within their current level.
    Click Apply to save the new order, or Reset, to return to the previous order.
    Reorder values across levels
    To move hierarchy field values across levels, use cut and paste.
    Hover over a value, click and select Cut.
    Hover over another node, click and select Paste.
    If the cut value contains sub-values, the sub-values are moved with the parent value.

    Note: Documents tagged with the pasted values will be updated to reflect the new structure. If the value is a sub item of another value, or becomes a sub item of another value, the tags for values higher in hierarchy are automatically adapted, if required.

  5. Once all changes are made, click Done.

Note: You cannot rename existing Review State field values; however, you can add new values and delete the default values if they do not meet your needs.
