Axcelerate 5 Matter Setup Step-by-Step

As a Case Manager, you are typically responsible for setting up Axcelerate Review & Analysis matters, so users can log in and begin their work. The chart below outlines common matter setup steps, though some matters may require less setup than others.

Tip: A lot of back end settings and some user-configured settings, such as review workflows, fields and arrangements, can be taken over from an existing matter that is used as template. Discuss requirements with your system Administrator at the start of a matter to determine whether a template may be useful to assist with configuration and reduce manual setup steps.

Consult with the case team to determine whether any documents should be submitted for OCR.

OCR (Optical Character Recognition)

Consult with the case team to determine whether to separate email attachments from their parents to reduce storage size.

Native Email Family Storage

Consult with the case team to determine whether any custom native conversion settings for Microsoft Excel, PowerPoint or Word files are needed. Provide any custom settings to your system Administrator.

Identify staff who will work in the matter and determine the Axcelerate 5 user role each will be assigned. Also determine whether any staff members require an Axcelerate Ingestion user role. Provide your Administrator with the staff names, email addresses, and the user roles to be assigned, so they can create the user accounts.

Review the default field list and customize fields and field values as needed. Field Management
If documents will be batched for review, review the default Review State field values and customize as needed.

Update the default tagging arrangements that are needed for each level of review and link the arrangements to their corresponding review state values. Create or Modify a Tagging Arrangement
Customize the default Foldering arrangement, if needed. Modify the Foldering Arrangement
If you need to limit the scope of the review to a subset of documents, create a universe for that document set.

Note: Universe creation may take some time. You can do the next tasks without waiting for universe creation to finish.

Create a New Universe
Add any review workflows that will be used for batching to the universe and enable Predictive Coding, if appropriate. Create a Review Workflow
Depending on how documents will be batched, configure batching templates.

If new documents have come in meanwhile, update the universe before starting the next task. Manually Update a Universe

If documents require preconversion, start bulk conversion or create preconversion rules.

Preconversion is often done for Microsoft Excel, Microsoft PowerPoint, Microsoft Project and sometimes Microsoft Word files because this reduces the time between when a user opens a document for viewing and when the document actually displays.
